This Privacy Policy explains how we collect, use, disclose, and protect information when you visit our websites, contact us, or use our services (valuation/appraisal, rent surveys, marketing, lending coordination, transaction coordination, property and asset management, development consulting, and related offerings).
By using our sites or services, you agree to this Policy. If you do not agree, please do not use our sites or services.
1) Information We Collect
We collect information in three ways: (a) directly from you, (b) automatically from your devices, and (c) from third parties and public sources.
A. Information you provide
- Contact & identity: name, email, phone, mailing address, organization, role.
- Property details: addresses, photos, floor plans, surveys, permits, HOA/COA rules, disclosures.
- Service files: contracts, engagement letters, scope, rent rolls, operating statements (T12/T6/T3), budgets, appraisals, inspection reports, insurance, title commitments, loan terms, offers/counteroffers, communications.
- Payment details: invoicing/billing info (processed by PCI‑compliant providers; we do not store full card numbers).
- Preferences: communication settings, update cadence, marketing/advertising choices.
B. Information collected automatically
- Usage & device data: IP address, browser type, device IDs, pages viewed, links clicked, referring/exit pages, timestamps.
- Cookies & similar tech: analytics, performance, and advertising cookies/pixels (see Cookies below).
C. Information from third parties & public sources
- Business partners & vendors: lenders, title/escrow, insurers, inspectors, property managers, MLS, photographers, analytics/ad platforms, payment processors.
- Public records: county property appraiser, recorder, court filings, mapping/utility data, permits, FEMA/flood/wetlands, zoning.
- Screening/verification (when applicable to your engagement): identity checks, licensing credentials, or tenant‑screening inputs provided by you or your agent/PM.
Children’s data: Our services and sites are intended for adults. We do not knowingly collect personal information from children under 16.
2) How We Use Information
We use information to:
- Provide and improve services: perform analyses (e.g., appraisal, rent surveys, operating statements), prepare deliverables, coordinate stakeholders, schedule site visits, and maintain records.

- Engagement partners: with your direction or as necessary to fulfill an engagement—lenders, appraisers/experts, brokers/agents, property managers, inspectors, title/escrow, surveyors, attorneys, HOAs/COAs, and government offices.
- Compliance & legal: to comply with law, respond to lawful requests, or protect rights, safety, and property.
- Business transfers: in a merger, financing, or sale, subject to confidentiality.

5) Data Storage & Security
We use reasonable administrative, technical, and physical safeguards to protect information. No method of transmission or storage is 100% secure; please use caution when sending sensitive documents via email.
Retention: We keep records as long as needed for the purposes described or as required by law and standards:
- Appraisal workfiles (USPAP): at least 5 years, or 2 years after final disposition of any judicial proceeding, whichever is later.
- Transaction/closing files: typically 5–7 years (state, USPAP, or contractual requirements may extend this).
- Marketing inquiries/leads: generally 24 months from last interaction, unless you opt out sooner. We may retain backups or logs for limited periods consistent with these purposes.
6) Cookies & Similar Technologies
We use cookies/pixels to operate our sites, measure performance, and—if you allow—support advertising and retargeting.
Types of cookies:
- Strictly necessary (functional, security).
- Analytics/performance (e.g., traffic, engagement).

Email marketing: You can unsubscribe via any marketing email. Transactional/operational emails will continue as needed for services.
8) International Visitors
We operate in the United States. If you visit from outside the U.S., your information will be processed in the U.S. and may be subject to U.S. laws.
9) Roles & Responsibilities
For our websites and direct marketing, ROI Home Services acts as a controller. For client engagements (e.g., property management, valuation, lending coordination), we may act as a service provider/processor to our client, handling information under their direction and contract.
10) Third‑Party Links & Tools
Our sites may link to third‑party websites or use embedded tools (e.g., maps, scheduling, payments). We are not responsible for the privacy practices of those third parties. Review their policies before providing information.

We may update this Policy from time to time. We will post the new date at the top and, if changes are material, provide additional notice as required.
